Budget Management

Set spending limits to control expenses across your organization.

Accessing Budgets

  1. Click Admin in the sidebar
  2. Click Budgets
  3. View and manage all budgets

Finance Role Required

Finance and Admin users can manage budgets.

Budget Types

Organization-Wide

Applies to all expenses across the entire organization.

  • Total spending cap for the company
  • Useful for overall budget control

Department

Limits spending for a specific department.

  • Each department has its own budget
  • Track spending by team

Category

Limits spending on a specific expense type.

  • Control travel, meals, supplies separately
  • Prevent overspending in any category

Individual

Personal spending limit for a specific employee.

  • Per-employee budget caps
  • Useful for sales teams or frequent travelers

Creating a Budget

  1. Click Create Budget
  2. Fill in the form:
Field Description
Name Descriptive budget name
Type Organization, Department, Category, or Individual
Amount Maximum allowed spending
Period Monthly, Quarterly, or Annual
Start Date When budget tracking begins
  1. Click Save

Budget Periods

Period Description
Monthly Resets on the 1st of each month
Quarterly Resets every 3 months
Annual Resets on January 1st

Budget Status

Under Budget

Spending is below the limit.

Warning

Spending is approaching the limit (80%+).

Exceeded

Spending has exceeded the budget.

Monitoring Budgets

The budget dashboard shows:

  • Progress Bar - Visual spending indicator
  • Amount Spent - Current spending total
  • Remaining - How much is left
  • Status - Under, Warning, or Exceeded

Editing Budgets

  1. Click the menu icon on a budget
  2. Select Edit
  3. Modify details
  4. Click Save

Deleting Budgets

  1. Click the menu icon on a budget
  2. Select Delete
  3. Confirm deletion

Deletion is Permanent

Deleting a budget removes all tracking history.

Best Practices

  1. Start with organization budget - Set overall limit first
  2. Add department budgets - Break down by team
  3. Set realistic limits - Based on historical spending
  4. Review monthly - Adjust as needed
  5. Use warnings - Budget alerts at 80% help prevent overages
