Managing Receipts

View, organize, and manage all your uploaded receipts in one place.

Accessing Receipts

  1. Click Receipts in the sidebar
  2. View all your uploaded receipts

Receipt Dashboard

The receipts page shows:

  • Total Receipts - All receipts uploaded
  • Linked - Receipts attached to expenses
  • Unlinked - Receipts not yet linked to expenses

Filtering Receipts

By Status

Filter Shows
All All receipts
Linked Receipts attached to expenses
Unlinked Receipts awaiting expense creation

Type in the search box to filter by:

  • Merchant name
  • File name

Uploading Receipts

Drag & Drop

  1. Drag a receipt file onto the upload area
  2. Drop to begin processing

File Browser

  1. Click the upload area
  2. Select a file from your device

Camera Capture (Mobile)

  1. Tap the camera icon
  2. Take a photo of your receipt
  3. Receipt uploads automatically

Supported Formats

Format Extension
JPEG .jpg, .jpeg
PNG .png
PDF .pdf

Maximum file size: 10MB

OCR Processing

After upload, receipts are automatically processed:

Processing Status

Status Icon Description
Queued Waiting to be processed
Processing OCR is extracting data
Ready Data extracted successfully
Failed Could not extract data

Extracted Data

When OCR completes, you'll see:

  • Merchant - Store or vendor name
  • Amount - Total from receipt
  • Date - Transaction date

Edit Before Creating Expense

You can edit the extracted data before creating an expense. Just modify the fields in the OCR results section.

Creating Expenses from Receipts

From the Receipt List

  1. Find the unlinked receipt
  2. Click Create Expense
  3. OCR data pre-fills the expense form
  4. Review, edit, and save

From the Upload Flow

After uploading and OCR completes:

  1. Review extracted data
  2. Click Continue to Expense
  3. Complete the expense form

Viewing Receipts

Quick View

Click a receipt to view it in a new browser tab.

Receipt Details

Each receipt card shows:

  • Thumbnail (for images)
  • File name
  • Merchant (if extracted)
  • Amount (if extracted)
  • OCR status
  • Linked status

Deleting Receipts

  1. Find the receipt in the list
  2. Click the delete icon
  3. Confirm deletion

Cannot Undo

Deleted receipts cannot be recovered. If linked to an expense, the expense will lose its receipt attachment.

Receipt Status

Linked Receipts

Receipts attached to expenses show:

  • Green "Linked" indicator
  • Associated expense reference

Unlinked Receipts

Receipts not yet attached show:

  • Orange "Unlinked" indicator
  • "Create Expense" button

Best Practices

  1. Upload promptly - Submit receipts while details are fresh
  2. Use good lighting - Clearer photos = better OCR results
  3. Keep receipts flat - Avoid crinkled or folded receipts
  4. Check OCR results - Verify extracted data is accurate
  5. Link regularly - Don't let unlinked receipts pile up

Troubleshooting

OCR Failed

If OCR fails to extract data:

  1. Check image quality (clear, well-lit)
  2. Ensure receipt text is readable
  3. Try re-uploading with a better photo
  4. Create expense manually if needed

Wrong Data Extracted

If OCR extracts incorrect data:

  1. Edit the fields before creating expense
  2. Or edit the expense after creation
