Approval Queue

As a manager, you review and approve expenses submitted by your team. The Approval Queue shows all items waiting for your action.

Accessing the Approval Queue

  1. Click Approvals in the sidebar
  2. See all pending items from your team
  3. The badge shows how many items need attention

What You See

Each approval item shows:

Column Description
Employee Who submitted the expense/report
Type Expense or Report
Name Report name or merchant
Amount Total amount
Submitted When it was submitted
Days Pending How long it's been waiting
Actions Approve/Reject buttons

Filtering the Queue

By Status

  • Pending My Approval - Items waiting for you
  • Pending Others - Items at other approval levels
  • Recently Approved - Items you approved
  • Recently Rejected - Items you rejected

By Employee

  1. Click the Employee filter
  2. Select specific team members
  3. View only their submissions

By Date

  1. Click the Date Range filter
  2. Choose preset or custom range
  3. See submissions from that period

By Amount

  1. Click the Amount filter
  2. Set minimum and/or maximum
  3. Focus on high-value items

Reviewing an Item

Click any item to see full details:

For Expenses

  • Merchant and amount
  • Category and date
  • Attached receipts (click to view)
  • Employee's notes
  • Policy compliance status

For Reports

  • All expenses in the report
  • Total amount and expense count
  • Date range
  • Employee's description
  • Individual receipt access

Approval Decisions

For each item, you can:

Action Result
Approve Moves to next approval level or Approved
Reject Returns to employee for revision
Request Info Ask employee for clarification

Batch Actions

Process multiple items at once:

  1. Select items using checkboxes
  2. Click Approve Selected or Reject Selected
  3. Confirm the batch action

Review Before Batch Approve

Make sure you've reviewed all selected items before batch approving. You can't undo approvals.

Approval Notifications

You'll receive notifications when:

  • New items arrive in your queue
  • Items are waiting over 24 hours
  • An employee resubmits a rejected item

Notification Settings

  1. Go to Profile > Notifications
  2. Toggle approval notifications
  3. Set email frequency

Queue Priority

Consider reviewing items by:

  1. Oldest first - Don't leave employees waiting
  2. Largest amounts - High-value items need careful review
  3. Time-sensitive - Travel expenses before trips end

Who's in Your Queue?

You see expenses from:

  • Direct reports (employees who report to you)
  • Delegated approvals (if someone delegated to you)

You do not see:

  • Expenses from other teams
  • Your own expenses
  • Super admin-level items

Multi-Level Approvals

If your organization uses multi-level approvals:

  1. Manager approval - You (first level)
  2. Finance approval - Finance team (second level)
  3. Admin approval - For large amounts (third level)

After you approve, items move to the next level automatically.
