Profile Settings

View and update your personal information, appearance preferences, and account settings.

Accessing Profile Settings

  1. Click your profile icon in the sidebar
  2. Your profile settings page opens

Profile Header

The header displays your account overview:

  • Avatar - Your initials with brand color
  • Name - Your full name
  • Email - Your email address
  • Role - Your organization role (Employee, Manager, Finance, Admin)
  • Organization - Your company name
  • Member Since - When you joined
  • Expense Count - Total expenses submitted

Personal Information

Update your basic contact details:

Field Description
Full Name Your display name
Email Cannot be changed (login identifier)
Phone Number Optional contact number
Department Your department (admin-managed)

Saving Changes

  1. Edit your information
  2. Click Save Changes
  3. Changes take effect immediately

Appearance Settings

Dark Mode

Toggle between light and dark themes:

  • Light Mode - Default, white backgrounds
  • Dark Mode - Reduced eye strain, dark backgrounds

The setting is saved to your browser and persists across sessions.

Language

Select your preferred interface language:

Preferences

Time Zone

Select your local time zone for accurate date/time display:

  • Eastern, Central, Mountain, Pacific (US)
  • London, Paris, Berlin (Europe)
  • Tokyo, Shanghai, Sydney (Asia-Pacific)

Default Currency

Set your preferred currency for new expenses:

  • USD, EUR, GBP, CAD, and more
  • Can be overridden per expense

Navigate to related settings:

Notification Preferences Control which notifications you receive
Bank Accounts Manage accounts for reimbursements
My Vehicles Manage vehicles for mileage tracking
Change Password Update your account password

Security Information

Last Sign In

Shows when you last logged into your account.

Reporting To

If you have an assigned manager:

  • Shows manager's name and email
  • Your manager approves your expense reports

Changing Your Password

  1. Click Change Password in Quick Links
  2. Enter your current password
  3. Enter and confirm new password
  4. Click Update Password

Best Practices

  1. Keep profile current - Updated contact info helps with reimbursements
  2. Set your timezone - Ensures accurate expense timestamps
  3. Choose default currency - Saves time when creating expenses
  4. Enable dark mode - Reduces eye strain in low light
